03Student billing

Bill the flight the moment it's logged.

Chasing money is the part of running a school nobody signed up for. StratusLog turns the logbook entry into the invoice, sends it to the student's phone, and watches Stripe for the payment so the office doesn't have to.

From rates to invoice, automatically

Set dual, solo, ground, rental, and discovery rates once. Override them per aircraft or per student when a deal calls for it. When a flight saves, StratusLog builds the Stripe invoice from whichever rate applies, itemised, and sends the payment link by text and email in the school's name.

Block time and prepaid credit

Students who buy hours up front carry a credit balance. Flights draw it down and the invoice shows the remaining balance. When credit runs out, billing switches back to pay-per-flight without anyone changing a setting.

Discounts an owner can stand behind

Only owners can discount a flight or mark it no-charge, and every discount records a reason. The list price, the discount, and the reason all stay on the invoice, so the books explain themselves later.

Paid, reminded, refunded

Stripe tells StratusLog the moment a student pays and the invoice flips to paid, with a receipt on its way. Anything still open gets a reminder. Refunds and resends are one tap from the invoice.

Questions about student billing

How does billing work?

You connect Stripe once. From there, every logged flight produces an invoice using the school's dual, solo, ground, rental, and discovery rates, with per-student overrides if you need them. Invoices go out by email and text with a payment link. When the student pays, Stripe tells StratusLog and the invoice flips to paid, with a receipt sent. Anything still open gets a reminder, and every open invoice has a resend button.

Will the app text my students when an invoice goes out?

Yes, if the student has a phone number on file and has agreed to receive texts. When a flight is logged, StratusLog creates the Stripe invoice and sends the payment link to the student by text and email in your school's name. Students can reply STOP at any time to opt out.

Can I override billing rates per student?

Yes. Set school defaults for dual, solo, ground, rental, and discovery rates, override them per aircraft, and override them again on individual students for discounts, programs, or partner deals. Only owners can discount a flight, and every discount records a reason on the invoice. A discounted lesson still pays the instructor in full.
